Climbing Crops is operated by Bexamy Pty Ltd as trustee for the Meager Family Trust ("we", "us", "our"). This policy explains what personal information we collect through the Climbing Crops website, why we collect it, how it is stored and who else may handle it. We aim to handle personal information transparently and in accordance with applicable Australian privacy law.
Using Climbing Crops without an account
You can browse the crop library, guides and the free single-crop planner without creating an account. Planner choices you make in that mode are carried in the page address so your results can be shared or bookmarked; they are not saved to an account and we do not build a profile of anonymous visitors. We do not run advertising or third-party analytics or tracking scripts, and we do not use cookies for marketing.
What personal information we collect
- Account and authentication information — your email address, an encrypted password or sign-in link, and authentication records such as sign-in timestamps and session tokens. A sign-in session is stored in your own browser so you stay logged in.
- Account preferences — an optional display name, your preferred units and your default climate zone.
- Saved garden plans — the crops, measurements, growing setup and plan details you choose to save, linked to your account.
- Purchase and entitlement records — whether your account has Premium access, when it was granted or ended, the reason (for example a refund), and the payment provider's transaction reference. We do not receive or store your card number, bank details or full billing record.
- Support and contact communications — the content of emails you send us and our replies.
- Technical and security information — our hosting, database and payment platforms keep operational logs of requests, which can include IP address, browser details, timestamps and error information. We use these for security, fraud prevention and fixing faults.
How we collect it
Directly from you when you create an account, save a plan, buy Premium or email us; automatically through the operational logs described above; and from our payment provider when it confirms a completed purchase, refund or chargeback for your account.
Why we collect and use it
- To create and secure your account and let you sign in.
- To provide the planner, save and display your plans, and apply your preferences.
- To grant, maintain and — after a refund or reversal — end Premium access.
- To respond to your questions and provide support.
- To keep the service secure, prevent misuse and diagnose faults.
- To meet legal, tax and record-keeping obligations.
We do not sell personal information and we do not send marketing email. Emails we send are service related — for example account confirmation, sign-in links and password resets.
How it is stored and secured
Account data, plans and entitlement records are held in a managed cloud database and storage service used by Climbing Crops. Access is restricted to the account that owns the data through database-level access rules, with additional administrator-only areas protected by server-side role checks. Passwords are stored hashed, never in readable form, and traffic to the site is encrypted in transit. Uploaded imagery is held in a private store and served through short-lived links. We take reasonable technical and organisational measures to protect information, though no online service can be guaranteed completely secure.
Who else handles your information
- Our hosting, database, authentication and email delivery platform — provides the infrastructure that runs the site, stores account data and plans, and delivers service emails such as sign-in and password-reset messages.
- Paddle — handles Premium purchases (see below).
- Google Fonts — typefaces are loaded from Google's font servers, so your browser makes a request to Google when a page loads.
- Professional advisers and authorities — for example accountants or legal advisers, or where disclosure is required by law.
Payments and Paddle
Purchases of Climbing Crops Premium are completed by Paddle.com, which acts as the Merchant of Record and authorised reseller for our orders. You enter your payment details with Paddle, not with us; card and banking data is handled by Paddle and its payment partners and is never received by Climbing Crops. Paddle also handles applicable taxes, invoices and refunds.
Under Paddle's current supplier terms, Paddle and Climbing Crops each act as independent controllers of the relevant buyer personal information shared in connection with the payment service — Paddle is not simply our processor. Paddle's own handling of your information is described in its privacy notice. What we receive back from Paddle is limited to the purchase confirmation, refund or reversal information we need to switch Premium access on or off, and the transaction reference.
Overseas handling
Climbing Crops is operated from Australia, but the platforms above are global services and information may be stored or processed on servers outside Australia, including in the United States and the European Union, depending on where those providers operate. Where information is handled overseas we rely on the contractual terms and safeguards offered by those providers. If you would like the current hosting location for your data, email us and we will tell you what we can confirm.
How long we keep it
- Account, preferences and saved plans — kept while your account is open, and deleted when you ask us to close it (except where we must retain records by law).
- Purchase and entitlement records — kept for as long as needed to support your access and to meet tax and financial record-keeping obligations.
- Support emails — kept while relevant to your enquiry and our records of it.
- Technical and security logs — kept for the shorter operational periods set by our platform providers, then rotated out automatically.
Where information is no longer needed for these purposes, we delete or de-identify it.
Access, correction and deletion
You can view and change your preferences and plans while signed in. To request a copy of the personal information we hold about you, to correct it, or to have your account and its data deleted, email hello@climbingcrops.com. We may need to confirm your identity — usually by contacting you at your account email — before acting. Deleting your account removes your saved plans; purchase records we must keep for tax purposes are retained by us and by Paddle.
Complaints
If you think we have mishandled your personal information, email hello@climbingcrops.com with the details and we will investigate and respond, normally within 30 days. If you are not satisfied with our response, you may raise the matter with the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
We may update this policy as Climbing Crops changes. The current version is always on this page with the date it was last updated.
